PTO Meeting Minutes

October 7, 2021 

Meeting Called to Order: 8:35

Updates & Reports

Treasurer’s Report (Emily)

• Amanda gave instructions about how to request reimbursement. Contact Emily for e-form and submit receipt copies by e-mail. Please submit ASAP and please try to deposit checks before end of month.

• Treasurer’s report was shared with all. Reimbursements for PTC dinners and supplies for back to school night. 

• School confirmed budget of $3,300.

• We will meet with PTO board to write budget. Board will meet to write budget. We’ll vote on the annual budget meeting at our next meeting in November. 

• Motion to accept treasurer’s reported presented by Emily, seconded by Amanda. Motion carried.

Upcoming October Events

• Elementary and Inclusion Chairs (Kathryn and Sarah)

Halloween Parties:

We discussed plans for our upcoming Halloween celebrations. Elementary school parade with trick or treating in the morning.

-FS/LS participating in parade

-Update and send out sign up genius on 10/19

-Ask for donations by 10/26 so they can be organized and distributed.

-Time of parade will be 8:45 (elementary school starts at 9:00 am)

-Map out parade route and communicate with parents and staff. Ensure a safe and spaced out parade route/experience. Using cones to set parade perimeter. SBO to help set up.

-Volunteers for Halloween day and trick-or-treating stations. Ask for 10 volunteers for day-of help. Assign board member to oversee 

-Advertise parade early

Classes will be responsible for afternoon celebrations and will coordinate on their own. We are providing snacks.

-Add to google drive and send out to teachers

-Escape Room. Look into options on teachers pay teachers

ACTION ITEMS:

-Add chips, soda, and water for ALL students on sign up genius (Amanda)

-Add 10 volunteers in sign up for parade (Amanda)

-Send sign up to front desk on 10/19 (Amanda)

-Plan a day to label and distribute soda, chips, and water (Wed or Thur?) (Hillary, Kathryn, Sarah)

-Set up parade route and trick or treat spots (Tracie, Kathyrn, and Sarah)

-Send email with specifics to teachers (Kathryn and Sarah)

-Advertise to parents (Kathryn and Sarah)

-Day of volunteers (Sarah, Amanda, Hillary, Brittany Norlem)

-Add items to google drive for Halloween activities (everyone)

-Label areas in double doors to gather sign-up items (Amanda)

-Red Ribbon Week October 25-29 details (Emily and Hillary)

Emily reviewed plans for Red Ribbon Week. Dress up days and themes finalized.

Pledges will be signed on red butcher paper in front hall at class leisure. Handprint stickers may be leftover from SA5K.

Social skills lesson plans for 4-6. Check with 7-8 for best lesson format.

-Door Decorating will have halloween/red ribbon theme.

Student favorite award (students just give thumbs up on padlet)

Awards to doors (judging done by school admin or board. Winners get wolf cup)

-Halloween Party Details (Hillary)

Middle School stomp will be after lunch. We are providing snacks and costume contest prizes. (3 per class.)
-Add to google drive (Escape Room?)

ACTION ITEMS:

-Add cellophane bags to sign up for contest prizes (Amanda)

-Plan a date to distribute chips, soda, and water to classes (Hillary)

-Ask middle school lead teacher if they want volunteers for stomp. How many and when (Hillary)

-Add volunteers to sign up, if needed (Amanda)

-Add materials to google drive (everyone) 

-Email teachers to explain door decorating contest (Emily)

-Create padlet voting (Emily)

-Student choice certificate (Laura)

-Email teachers about Red Ribbon week and advertise dress up days (Emily and Hillary)

-Put butcher paper up in front (Emily)

• Teacher Appreciation (Laura)

Laura reviewed plans for October teacher appreciation gift. Those lacking will be added to Halloween signup.

-Check sign-up (Emily)

-Putting together bags and distribution (after Tuesday 3/26)

ACTION ITEMS:

-Plan time to put together bags (Laura and Emily)

-Plan date and time to distribute bags to teachers (Laura, Emily, and Amanda)

• Spectrum-wide Fall Events (Amanda)
